Customer Service Representative

We are seeking a Customer Service Representative to join our dynamic and collaborative team. In this role, you will serve as a vital link between our customers and internal departments, working closely with manufacturing, scheduling, and sales teams to ensure customer needs are met with efficiency and professionalism. The ideal candidate will have experience in customer service, order management, and ERP systems in manufacturing, with a passion for fostering customer relationships and operational excellence.
Key Responsibilities:
- Manage customer inquiries and maintain regular communication with customers, sales, and internal departments to ensure seamless service.
- Provide clear and helpful information on product features, specifications, and order status, contributing to a positive and efficient customer experience.
- Address and resolve customer complaints, including processing credits in collaboration with Quality Control (QC) and Sales, ensuring customer satisfaction and retention.
- Ensure timely and accurate purchase order (PO) management including entry, changes, acknowledgement, shipment notifications and invoices, accessing customer portals for order placement and billing as needed.
- Work with scheduling to provide delivery dates and communicate those dates with customer.
- Coordinate freight based on instructions on the PO.
- Perform the accurate and timely scanning and documentation of completed shipping records, including invoices, packing lists, bills of lading, and other required documents, to maintain organized and accessible records.
- Review ERP data and reports, ensuring accurate pricing, part numbers, and forecasting insights.
- Prepare and review reports, including daily open order updates and weekly activity summaries, and share relevant insights with sales and manufacturing.
- Maintain confidentiality between accounts.
Qualifications:
- High School diploma or equivalent
- One to two years related experience and/or training; or equivalent combination of experience and training in a manufacturing organization preferred.
- Excellent verbal and written communication skills, with a strong ability to interact effectively with customers and internal teams.
- Strong problem-solving abilities, particularly in managing customer issues and coordinating solutions across teams.
- Attention to detail, especially in managing order entries, processing documentation, and maintaining accurate records.
- Proficiency with computers and Microsoft Office Suite; familiarity with ERP and CRM software is a plus.
- Ability to multitask, prioritize, and work efficiently under pressure, balancing multiple customer inquiries, order management tasks, and internal communications.
